We are looking for an Administrative Assistant who will play a pivotal role in ensuring the smooth and efficient operation of our office in Kuala Lumpur, Malaysia. This position is responsible for providing comprehensive administrative support to the management team, facilitating effective communication within the office, and maintaining a productive working environment. He/She will contribute to the overall success of the organization by managing administrative tasks with precision and professionalism.

What you will be doing

  • Oversee daily office operations, including managing office supplies, equipment, and facilities to ensure a well-maintained and efficient workspace.
  • Provide administrative support to senior management, including scheduling meetings, managing calendars, and preparing documents and reports.
  • Facilitate communication within the office by handling incoming and outgoing correspondence, emails, and phone calls promptly and professionally.
  • Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation as required.
  • Maintain accurate records and files, both electronic and physical, ensuring confidentiality and compliance with company policies and regulations.
  • Assist in organizing company events, meetings, and conferences, including arranging venues, catering, and logistics as necessary.
  • Support financial administration tasks such as processing invoices, expense reports, and petty cash management in collaboration with the finance department.
  • Liaise with vendors and suppliers to procure necessary services and supplies, negotiate contracts, and ensure timely delivery of goods and services.
  • Assist with HR administrative tasks, including onboarding new employees, maintaining personnel records, and coordinating employee activities.
  • Undertake special projects and assignments as directed by senior management to support business objectives and initiatives.

What we are looking for

  • 5+ years of experience in administrative roles with excellent organizational and time management skills.
  • Strong verbal and written communication skills in English and Malay, with the ability to interact effectively with colleagues and external stakeholders.
  • Meticulous attention to detail and accuracy in performing administrative tasks and managing documentation.
  • Ability to identify issues, propose solutions, and implement effective problem-solving strategies independently or as part of a team.
  • Ability to manage multiple tasks and priorities simultaneously while meeting deadlines in a fast-paced environment.
  • Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive information and interactions.
  • Adaptability to changing priorities and willingness to take on new responsibilities as required.
  • Collaborative attitude with the ability to work effectively as part of a team and support colleagues across various functions.
